Tutor Facilitator Freelance Agreement
(General Terms & Conditions)

1. Quarterly Term Commitment Notification
  • Quarterly commitment notices are sent to all tutors 1 month before the end of each quarter (Feb, May, Aug, Nov)

  • Tutors can decide to remain, leave, or take a break. 
    - Q1 (01 - 03)
    - Q2 (04 - 06)
    - Q3 (07 - 09)   
    - Q4 (10 - 12)

2. Personal Details
    A basic personal profile is required for the timetable.

  • Photo

  • Brief description - nationality and current country of residence
     

3. Classes

  • Trial and regular classes are paid.

  • Sit-in and training classes are not paid.

  • Classes are paid with or without student attendance.

  • Tutor facilitators must stay in class for the full hour.

  • Classes are auto-recorded and monitored to protect teachers, students and maintain good behaviour.

  • Audio and camera are deactivated until the first student joins (for privacy and tutor multitasking).

  • A flexible conversation facilitation style using the blog video, Google Images, and other materials.

4. Promptness

  • It is important to be prompt in welcoming students upon joining the class. We recommend entering the Zoom class 5 to 10 minutes before starting. 

  • Log onto the website via computer and phone before class so Admin can log your attendance linked to your payment.

  • Late by 5 minutes without prior notice, class payment will be halved.

  • Late by 10 minutes without prior notice, class payment will be cancelled.

  • 3 late attendances without prior notice across a quarter, your current availability will be reviewed, where personal leave might be advised due to instability and commitment reasons. 

  • Ensure you have a reliable ISP and power supply.


5. Cancellations

  • To cancel a class, notify us in the WhatsApp 'Tutor Group' more than 24 hours before class using the 'Tutor Absent Application Form

  • Cancellation notice within 24 hours before class will be taken as a late notice. It is your responsibility to plan your schedule and ensure your Internet is reliable to limit late cancellations. Penalties will occur if you apply late more than once per quarter, based on a conditional review. (see the summary chart below)

  • If your overall absence applications are deemed too frequent (due to planned and unforeseen circumstances), your current availability will be reviewed, where personal leave might be advised. (see the summary chart below)

  • Absent without notice policy: 2 'Absent' warnings with penalties, and dismissal if this occurs 3 times across a quarter. (see the summary chart below)

  • Inappropriate verbal and written language in class and on WhatsApp is not tolerated and can result in immediate dismissal.

6. Personal leave/ holiday 

  • Notify us 1~2 weeks before and the duration of your leave, so we can schedule cover for your classes.
     

7. Resignation

  • We require your commitment 1 month before each upcoming quarterly term. 

  • Quarterly commitment notices are sent out at the end of the months, Feb, May, Aug, and Nov.

  • If you cannot commit to the next quarter, notify us 1 month before the end of the quarter.

  • If you wish to leave or take a long break, please notify us 30 days before your last class.

  • If you decide to leave within the 30-day notification period, payment will be reduced by 50%. 

  • If you decide to leave suddenly without notice, payment will be suspended.

 

8. Payment & Bonus  

  • As part of the quarterly commitment policy, payments are made quarterly.

  • A monthly attendance record of assigned classes and substitutions is provided for each tutor.

  • Quarterly payments are made in full on the 15th of the following month after each quarter (see below).

       Example: Q1 (Jan, Feb, Mar) payment is made on April 15th.

       01/15 (Q4 Payment)
       04/15 (Q1 Payment)
       07/15 (Q2 Payment)
       10/15 (Q3 Payment)

  • Bonus: 100% Quarterly Attendance Performance Reward: $30 (up to $120 per year) 


9. Hourly Rate

  • 1-2 hr trail teaching (paid) + 3-month probation, starting from $10/hr ( tax-free )

  • Annual tutor hourly rate review of $1/hr increase (12 months of stable teaching after probation)

  • Max payment of $20/hr for freelancers.

  • Auditing factors include punctuality, responsive communication (via WhatsApp), Internet stability, class facilitation performance, and effective use of classroom tools.
